We collect from your US address, handle all US export documentation, move your consignment by air or sea, clear it through Polish customs with the Krajowa Administracja Skarbowa (KAS), and deliver to your door — whether that is an apartment in central Warsaw or a house in rural Małopolska.

Most of our Poland-bound clients combine air and ocean freight: a small air shipment with the essentials they need on arrival, and a larger ocean shipment with furniture and household goods following behind. Ocean freight from the US East Coast to Gdańsk or Gdynia is the most cost-effective option for bigger moves, with shared container (LCL) pricing for partial loads and full container (FCL) for complete households. We recommend starting the process 4–6 weeks before your arrival in Poland.

Unlike postal carriers (USPS, FedEx, UPS) and the per-box diaspora parcel services (Polonez, Polamer, Doma, Meest), we do not charge per box. One flat rate bundles pickup, shipping, customs clearance and delivery — and our team prepares the mienie przesiedlenia application on your behalf, so you do not fill in Polish customs forms yourself.

Customs & duty

Customs Clearance for Poland

Poland is an EU member state and applies the EU customs framework (Council Regulation 1186/2009) to shipments arriving from outside the EU. Polish customs is administered by the Krajowa Administracja Skarbowa (KAS) — the National Revenue Administration. The key relief for people relocating to Poland is mienie przesiedlenia (transfer-of-residence relief), which relieves qualifying personal belongings from customs duty under EU Regulation 1186/2009, and — under EU Directive 2009/132/EC and the corresponding Polish rules — typically relieves VAT as well for a bona-fide transfer of normal residence. We confirm the current VAT treatment with KAS before every shipment.

Mienie przesiedlenia (Transfer of Residence Relief)

Mienie przesiedlenia is the Polish name for the EU Transfer of Residence scheme. When you move your permanent residence from a non-EU country (such as the US) to Poland, your used personal effects and household goods are relieved of customs duty, and (under Directive 2009/132/EC and the implementing Polish rules) VAT relief typically applies for a bona-fide transfer of normal residence. Alcohol, tobacco, motor vehicles and new items are excluded. We confirm current treatment with KAS before your shipment departs. City Post Express prepares and submits the application to KAS on your behalf as part of our standard service.

Requirements

  • You must have lived continuously outside the EU for at least 12 months before the move
  • The items must have been in your possession and in use at your previous residence for at least 6 months
  • You must be establishing your normal (primary) residence in Poland
  • Goods must be for personal / household use — they cannot be sold, lent or transferred for 12 months after import
  • Items must be imported within 12 months of establishing your Polish residence (multiple consignments are allowed within that window)

Shipping tips for Poland

Start your ocean shipment 6–8 weeks early

Send your sea freight well before your flight so your belongings are in Poland when you need them. Pair it with a smaller air shipment for the first few weeks of essentials.

Polish flats are compact

Apartments in Warsaw, Kraków and Wrocław tend to be smaller than US homes, with narrower stairwells and tight lifts. Oversized US furniture — king beds, large sectionals, American-style refrigerators — often does not fit. Measure your doorways before you ship.

Check your electronics are dual-voltage

Poland uses 230V with Type E plugs. Modern laptops, phone chargers and most small electronics are dual-voltage (110–240V) and need only a plug adapter. 110V-only appliances need a step-down transformer or are better left behind.

Prepare the inventory in English

A detailed inventory is required for KAS. English is accepted — we translate and format it into the structure Polish customs expects. Start listing items as you pack so nothing is missed.

Sort out PESEL and meldunek after arrival

You do not need a PESEL number before your shipment arrives. Apply at your local urząd gminy once you are in Poland. We can release your goods against other proof of residence in the meantime.

Pack for Polish winters

Poland gets properly cold — minus 10°C is normal in January. Prioritise proper winter coats, layers and boots in your air freight if you are arriving between November and March.
